Basic Function: The primary function of the Office Manager is to assure that the dental practice is operating efficiently while achieving an expected level of profitability, in addition to operating in an environment that exceeds patient satisfaction and employee well being. Essential Duties and Responsibilities: The following is a list of responsibilities associated with the Office Manager but is not exhaustive nor a complete, comprehensive list of the duties required and expected of the Office Manager; additional duties may be assigned as needed. Maintains compliance of company policies, procedures, objectives, mission, and values of Hudec Dental within office environment and staff they oversee Communicates with team by holding morning huddles on such topics as company happenings, office schedules, training topics Directs daily activities, evaluates performance and training needs in relation to company objectives for office personnel, including but not limited to the Patient Coordinators, Dental Assistants, EFDAs, and Hygienists. Works with the Human Resource Department to handle personnel situations, needs, and evaluations Arranges coverage in office due to staff openings Receives and distributes office mail accordingly Attends mandatory meetings, such as monthly manager meeting, training meetings, etc. Resolves patient concerns in a professional and timely manner Deposits daily receipts Completes the presentation of treatment plans to all patients Refunds to patients/sub revenue if needed Completes daily insurance report Communicates with the Reimbursement Department to review EOBs daily Sends and/or transmits all insurance claims daily Posts incoming patient payments when received Consistently monitors the activity of accounts receivables and follows protocols through written A/R company policies Monitors and holds employees accountable for attendance and time clock procedures in accordance with policies/procedures Monitors production, revenue and collection levels on a daily basis Monitors goals of providers and office on a weekly basis Monitors quality and quantity of daily output on a daily basis Calls all unscheduled treatment plans consistently and timely Complete payroll duties per established protocols Monitors progress of incomplete work as well as failed and cancelled reports Ensures unbilled work report is completed Reviews and completes all denied claims monthly Ensures that daily schedules are full to maximize productivity Compiles and analyzes all monthly reports Reviews status of lab cases Other duties as assigned Job Requirements Requirements: Education: Combination of education and experience normally represented by an Associates Degree in a Business Related Field Experience: 2-4 years of prior experience with in a dental office Must have a high level of accuracy in data entry Must be able to read, write, speak, and communicate effectively in the English language. Must have excellent listening skills and the ability to ask probing questions Able to effectively manage multiple priorities and adapt to change within a fast paced environment Must possess a professional and friendly attitude.
